Job Description:

Northeast Ingredients Company division of United Foods Corp., is a leading importer, distributor, custom processor and manufacturer of chemicals and natural ingredients for the food and beverage, cosmetic and personal care, pharmaceutical and nutritional industries in the United States. The Company now has an opening for administrative assistant for reception, clerical and other office duties.

1. Answer incoming calls and greet visitors; maintain visitors logs, samples logs, and facility opening and closing logs
2. Data entry related to Shipping & Receiving Paperwork, Inventory, Labels and Documents and Miscellaneous
3. Call and email customers with past due invoices and assist in invoicing and reconciliation and verification of bills of lading, packing list and inventory
4. Assist with scheduling appointments and maintain executive calendar.
5. Filing documents, typing, proof reading, editing company documents and product literature
6. Assist with scheduling outgoing and incoming shipments (shipping & receiving)

 Office hours are 8:00 a.m. to 5:00 p.m., Monday through Friday with 1 hour lunch time.

Requirements:

-       Pleasant and Enthusiastic Voice and Personality

-       High School Diploma or Associate’s degree;

-       0-3 Years of relevant experience in reception and office clerical duties;

-       Ice-breaking conversational skills; Warm-calling skills;

-       Excellent writing skills; Typing 55 WPM

-       High Proficiency in Microsoft Word and Excel (required) and Photoshop (a strong plus);

-       Pro-active, self-starting initiatives;

-       Team-building and problem solving skills;

-       Prospecting and appointment-setting skills;

Additional Requirements:

 - Willingness to be trained in other functions or departments and willingness to help out or cover the duties and responsibilities of other co-workers whose occasional absences have been permitted by the management or as designated by the management to help out in situations where there is a temporary surge of work in other functions.
